How we handle the personal data of the contractors we employ and the agencies we work with.
Who we are
WE CONTRACT LTD, trading as WECGROUPS, is the data controller for the personal data described in this policy. Our registered office is 34 Runcorn Road, Birmingham, England, B12 8RQ.

What data we hold
We hold the personal and financial data necessary to employ you and operate PAYE. That includes:
- Your name, date of birth, home address and contact details
- Identity and right to work documents, or the share code used to verify them
- Your National Insurance number and tax code
- Bank account details in your own name
- Assignment, timesheet, rate and hours data supplied by your recruitment agency
- Pay records, payslips, P45s, P60s and pension records
- Records of absence and statutory payments, including sick pay and family leave
- Correspondence with us, including complaints
Some of this is special category data or criminal offence data only where the law requires us to hold it — for example, health information supporting a Statutory Sick Pay claim.
Why we hold it, and our lawful bases
Our lawful bases are performance of a contract — your contract of employment with us — and compliance with legal obligations, including our duties under tax, National Insurance, pensions, employment and immigration law.
Where we rely on legitimate interests, that is limited to running and securing our business, such as reconciling payroll against agency data and maintaining our own records. Where we rely on consent, we ask for it separately and you can withdraw it at any time.
Where the data comes from
Most of it comes from you, during onboarding and over the course of your employment. Assignment, timesheet and rate data comes from the recruitment agency that placed you. Tax code notices come from HMRC.
International transfers
We process personal data in the United Kingdom. If a supplier processes data outside the UK, we put an appropriate safeguard in place, such as UK adequacy regulations or the International Data Transfer Agreement.
How long we keep it
We keep payroll and employment records for the periods the law requires — generally six years after the end of the tax year they relate to, and longer where pension or health and safety rules apply. Right to work checks are kept for the duration of employment and two years afterwards. When a retention period ends, we delete or anonymise the data.
Your rights
You have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct data that is inaccurate or incomplete
- Ask us to delete data, where we are not required to keep it
- Ask us to restrict or object to how we use it
- Ask for your data in a portable format, where the right applies
- Withdraw consent, where we relied on consent
To exercise any of these, contact info@wecgroups.com. We will respond within one month. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling their helpline. You can also raise it with us first through our Complaints Procedure.
